The management of Osun State Polytechnic, Iree, has released official guidelines for students, lecturers, and invigilators ahead of its upcoming semester Computer Based Examinations (CBE), which will be conducted entirely on mobile devices.
All participants are required to download and install the Xerxes SIEMS application, available on both Android and iOS app stores, which will serve as the official platform for the exercise. After installation, users must grant all required permissions, following which students are expected to log in using credentials sent via Xerxes email notifications.
Upon successful login, students must complete biometric facial registration, register their semester courses and print their examination slip. For each examination, students are required to generate a unique QR code corresponding to the relevant course code. Invigilators will scan these codes to produce a device specific six digit CBE access PIN, which will be sent as a notification to the student's device. The PIN expires within two minutes and is automatically copied to the device clipboard.
Students must then close the QR code interface, navigate to the Load Examination menu and input or paste the PIN to access and download their examination questions. Invigilators will also use the QR code scanning feature to detect and prevent impersonation during the examination. Students can additionally access their CBE access PINs and submission feedback through the system messages menu within the application.
The institution has outlined strict compliance rules. Only one mobile phone or tablet is permitted per student, and all other smart devices or unauthorised gadgets are prohibited. Any prohibited item found within an examination venue will be confiscated and destroyed.
Students whose facial registration fails to match or raises suspicion during or after the examination will be referred to the Students' Examination Disciplinary Committee. The management also noted that examinations may be rescheduled if server or network failure exceeds one hour.
All eligible students are strongly advised to familiarise themselves with the application before their examination date.
